Frequently Asked Questions
Can REVREX run accounts payable?
We recommend using your bank “Bill Pay” to set up accounts payable through your checking account. Normally there is no charge and your bank will send the check. No more printing checks and stuffing envelopes. This will save you money and time. Your checking account interfaces with REVREX, so all checks will be tracked accordingly.
Does it interface with my POS system?

Schedule a call with Mike Rasmussen (Founder) to see if your POS is currently mapped to RevRex. This is the next step to creating your accurate REVREX Score!
Will it interface with Quickbooks or any other accounting software?
REVREX utilizes a “Universal .csv tool” to upload data needed from your specific software. This allows us to work with hundreds of accounting software programs, including QuickBooks. Simply upload your .csv file.
Do I have to stop using my accounting software?
The REVREX application allows you to upload comma-separated value spreadsheets (.csv’s) from hundreds of accounting software programs or check-book reconciliation third-party software. You do not have to stop using your accounting software.
Do you have trainers that can train me and my staff?
We have (and continue to produce) tutorial videos along with the ability to schedule a 15-minute Zoom call to have your questions answered and assist you with your set up.
How do I get a refund if I don’t like it?

How does it work?
REVREX consumes third-party data, reconciles the data, and reports accurate, reportable revenue. REVREX uses many of the same third-party sources that the IRS and State taxing agencies use to ensure accuracy. Our Accounting GL interface available July 2024.
Remember, the IRS can challenge your reported revenue up to 10 previous taxable years. The sooner you get REVREX, the sooner you get protected.
Can it do personal taxes?
REVREX does not provide a personal income tax filing service, but the data produced by REVREX can be used by your tax preparer to prepare your SMB federal and state tax returns.
How does it protect me?
REVREX reconciles revenue from third-party data points and produces a Scoreboard (“REVREX Score”, a business FICO Score) using some of the same third-party data accessed by taxing agencies.
After revenue is reconciled, the Scoreboard is “FROZEN”, and the data is retrievable in the future on the REVREX application. The IRS can challenge reportable revenue for up to 10 years in arrears. It is imperative to have archived, accurate, retrievable data.
Using reconciled, reportable revenue ensures accuracy when dealing with taxing agencies, defending your position.
Will it stop an audit?
REVREX will provide you with accurate third party data and analytics needed to defend your reported revenue. You will have the accurate reconciled data ready to go, saving you unnecessary audit time. REVREX reconciles third-party data that taxing agencies normally use in their calculations to assess under-reported revenue by a small business.
What does REVREX do?
REVREX consumes third-party data and generates a “REVREX Score” which is a business vulnerability score. The closer your score to 100, the less vulnerable the business is, and the lower the probability for an audit to advance. We will also securely store your data and offer training on how to create a meaningful REVREX Scoreboard.
Why am I seeing a mismatch error under Net Operating Revenue even though I already closed all bank deposit transactions?
This means that the classification process under Dashboard Overview in GL Dashboard has not yet been completed (E.g. Deposit Classification, Expense Classification, Revenue Classification, Credit Card Classification and Bank Reconciliation).
Where can I get the file to upload when I reconcile the Credit Card Classification?
You can request get file from your credit card provider and download the Excel file depending on the needed date range (E.g. Chase Bank, Fidelity etc.).
How do I upload and classify credit card transactions using a CSV file?
To upload and classify credit card charges:
- Locate the credit card CSV file using Windows Explorer.
- Upload the file to REVREX. The system will read the data for the selected date range (e.g., January 2024).
- AI will auto-classify transactions with GL codes, but you must review and adjust any incorrect codes.
- Use the transaction register or production site as a reference to ensure classifications (e.g., “Dues & Subscriptions” as 8075).
- Save and post once all transactions are correctly classified. The CSV file is now reconciled and finalized.
What should I do if there's a discrepancy in the bank reconciliation difference?
If you see a difference (e.g., $61.05) during bank reconciliation:
- Search for that amount in the Transaction Register.
- Identify and correct any misclassified transaction (e.g., a charge coded to the wrong GL account).
- Once corrected, re-enter the bank ending balance. The difference should now show $0.00, confirming reconciliation.
- Ensure all transactions are checked and posted before finalizing the reconciliation.
How do I verify the final financial statements are accurate?
After completing deposit, expense, revenue, credit card classifications, and bank reconciliation:
- Generate a Balance Sheet starting with the prior month (e.g., December 2023) to establish the beginning balance.
- Then generate the Profit and Loss Statement for the target month (e.g., January 2024).
- Ensure the Total Assets = Total Liabilities + Equity and that the Income (Loss) Before Taxes matches between reports.
- Export the Balance Sheet and P&L as PDFs to share with third parties or for audit purposes.
How do I get started with my subscription?
To begin, visit our main website and navigate to the “Get Started” button after reviewing the FAQs and “Pains We Solve” sections. Once you enter your credit card details (note: ensure the discount code is correctly spelled), you’ll receive a series of emails guiding you through the onboarding process. This includes setting up your account and entering your business information as filed on your tax return.
What information is required for my business setup?
You must enter your exact business information as it appears on your tax return, including your business name, EIN, and banking details. This is critical for accurate setup. You’ll also need your ABA (routing) number, and our system will verify and populate relevant fields automatically.
What is IBV (Instant Bank Verification), and why is it important?
IBV allows us to securely connect with your bank to retrieve transaction data from January 1st of the current year onward. You’ll be prompted to log in with your bank credentials (as you normally would) to authorize this. It helps us gather necessary data for mapping and ensures your financial records are accurate and up to date.
Can I connect multiple bank accounts or credit cards?
Yes. You can connect multiple checking accounts and credit cards. Each bank account must be labeled with a four-digit identifier (e.g., -6635) to ensure proper mapping. During the Mapping Verification step, you’ll be asked to identify if you use a POS system or credit cards for sales activity, which influences how we track your sales and deposits.
What should I know about file imports and mapping?
When importing bank data manually (e.g., via CSV files), you must rename the file by appending a hyphen and the last four digits of the account number (e.g., BankFile-8008.csv). This ensures proper mapping in our system. Our platform also uses AI to classify transactions, and unknown items are tagged under “Ask Advisor” for your review.
What’s the process for reconciling the bank account in the system?
Start by selecting the correct bank and month. Enter the ending balance from the bank statement. If all transactions are correctly classified, the system should show a zero difference, allowing you to reconcile. If not, review unclassified or misclassified items and adjust them accordingly.
What’s the most efficient way to classify transactions using the master account?
Open the master account on a second screen. For each transaction in your working account, refer to the corresponding transaction in the master account. Match GL codes and amounts exactly. Use filtering tools to search by amount or description and verify classifications such as expenses, revenue, dues, or personal items.
Why do I need to refresh the balance sheet or profit and loss report after making edits?
After modifying transaction classifications, reports don’t update automatically. You must refresh the balance sheet first, which triggers a system recalculation. Once refreshed, revisit the profit and loss report to confirm that the net income or loss now matches the master account.
What are the main environments used in REVREX?
REVREX uses two primary environments:
- Dev (Development): A testing space where new features and data configurations are validated.
- Production: The live environment accessed at app.revrex.com, where actual financial data is processed and used.
How can I tell whether I’m in the Dev or Production environment?
Check the URL:
- Dev URLs typically include keywords like dev or a subdomain prefix.
- Production uses app.revrex.com.
Why is it important that the data matches between Dev and Production?
Matching data ensures:
- Integrity of financial statements
- Safe and successful deployment of updates
- Consistency across testing and live usage
What should I do if financial statement figures don’t match across environments?
- Recheck both environments to confirm the discrepancy
- Review recent deployments or changes
- Contact the development or data support team to resolve sync issues
What types of reports can be generated in REVREX?
REVREX supports generating:
- Financial statements by month and quarter
- Comparative data views
- Data validations for audit support
How often is production data updated?
Production data reflects live information. Updates are pushed once verified in Dev and approved for release.
Can I make changes directly in Production?
No. Changes should be tested in Dev first. Production should only reflect finalized, approved updates.
Why is the Gross Profit and Net Operating Revenue in the Scoreboard has a red alert when we try to filter current date closing?
In the REVREX app, you have to make sure that the months within the date range are closed
In the GL Dashboard, you need to verify that the classification process has been completed
What are the processes under “Classification” in the REVREX Application?
- Deposit Classification
- Expense Classification
- Revenue Classification
- Credit Card Classification
- Bank Reconciliation
How do I export a Balance Sheet in RevRex?
Use the Balance Sheet tab and click the export/download button.
Where are exported files stored?

What should I do if a transaction appears in the master account but not in the demo app?
Re-import the data into the demo app or verify if the file uploaded included all necessary rows.
Can I import multiple bank accounts in one go?
- Yes, as long as the CSV is structured clearly per bank. Alternatively, import each account separately for easier reconciliation.
Does REVREX work offline?
No, it is a cloud-based platform requiring internet access to sync data and access environments.
Do you sell my personal information?

Is it a monthly subscription?
Our monthly plan is $229/month with a one-time bank account mapping fee of $55.00.
Doesn’t my accountant already do this?
Most accountants do not reconcile revenue reported by Small and Midsize Businesses (SMBs) to actual third-party databases.
Advisors take the numbers provided to them by a small business owner with 100% reliance on those numbers being accurate and reconciled. That is where the problem starts.
Unreconciled revenue when compared to third-party data is a disaster waiting to happen.
This allows taxing agencies to formulate their own conclusions of true reportable revenue and puts the SMBs at risk of being targeted.
Does it prepare and submit taxes?
REVREX is an online tool that gathers third-party data, specific to a small business that can then be used by a tax preparer. REVREX is not a tax preparation or submission tool.
Does REVREX offer tax relief?
REVREX is not a “tax relief service”. The REVREX cloud based SaaS application, is designed to consume third-party data to support your reportable revenue calculations provided to taxing agencies.
Schedule a 15-minute consultation with Mike Rasmussen (Founder) for more information.
Will it prevent audits?
Nothing can prevent the IRS or a State taxing agency from opening an audit; however, REVREX will produce accurate reports showing your accurate, reconciled reportable revenue.
What does REVREX mean?
REVREX is short for R-Revenue Reconciliation E-Expense classification, and X-it Strategy.
By consuming data from third-party databases, the REVREX application provides an SMB and its advisor with a tool to reconcile the business’s revenue – allowing SMB and advisors to agree on reportable and non-reportable revenue, simplify expense classification (adoption of a unique REVREX GL system), and plan an exit strategy.
What is REVREX?
REVREX is a Revenue Reconciliation tool that accurately reconciles business revenue using the some of the same third-party databases that the IRS and State taxing agencies use to challenge reported revenue. REVREX reconciles and reports revenue for a business on an ongoing basis, thus ensuring defensible, accurate data.
The REVREX Dashboard displays your “REVREX Score” which gives you a vulnerability score. The lower the score the more vulnerable you are in an audit. The closer your score to 100, the less vulnerable the business is, and the lower the probability for an audit to advance. The dashboard also displays your EBITDA, valuation estimate, Liquidity Ratio, Leverage Ratio, Efficiency Ratio, Market Value, Working Capital, and more.

What are the essential steps before running a bank reconciliation? Before running a bank reconciliation, you must complete the following:
Post all Deposits, Expenses, and Revenue transactions (revenue is typically the adjusted bank deposit unless you have a POS system).
Upload and classify Credit Card Charges using a CSV file. The system uses AI to pre-classify transactions, but manual review is required for accuracy.
Complete the Credit Card Classification and ensure all transactions are properly coded to the General Ledger.
Once these steps are completed, you can move on to bank reconciliation.
How do I upload and classify credit card transactions?
Credit card data must be uploaded in CSV format using your issuer’s export tools. During upload, you’ll map fields like date, amount, and description. The system attempts to auto-classify transactions using AI. If uncertain, the system will default to an “Ask Advisor” category, which users should later update manually to the appropriate GL account.
What happens if my Profit & Loss or Balance Sheet reports don’t match?
If there’s a mismatch, such as an incorrect net income value, use the maintenance tool to search for and adjust specific transactions (e.g., by amount or description). Once corrected, return to your reports and click “Refresh” to regenerate the updated financial statements.
Why can’t I edit my beginning balance after submitting it?
Once you submit the beginning balance (e.g., as of 12/31/23), the system locks that entry to ensure consistency during reconciliation. You’ll see a confirmation prompt: “Are you sure to submit the beginning balance for December? You won’t be able to revert this.” Selecting Yes finalizes the balance entry and prevents further changes.
What happens after I've uploaded and classified my transactions?
Once transactions are classified (deposits, expenses, revenue, and credit card charges), you will complete a bank reconciliation to match your records with your actual bank balances. After reconciliation, you can generate financial reports, including a Balance Sheet and Profit & Loss Statement for the specified periods.
How do I upload prior-year transactions (e.g., for 2024)?
Download your bank’s CSV files and append the last 4 digits of the account number to each filename (e.g., Chase_March-8008.csv). Then, upload these files through the system to import your 2024 transactions and begin classification.
How do I identify a misclassified transaction in the financial statements?
To identify a misclassified transaction, compare the balance sheet or profit and loss statement to the master account. Calculate the variance between the two reports. Then, go to the Transaction Register for the relevant month, input the variance amount, and review entries that may have been incorrectly categorized. Use filtering by amount or category to locate discrepancies.
Can I modify Year-to-Date (YTD) entries in the system?
No, YTD entries cannot be modified directly. Only the current month entries are editable. If a correction is required, navigate to the specific month where the error occurred, and update the classification using the edit (pencil) icon. Then regenerate the reports to reflect the correction.
What are common GL codes I should be familiar with during classification?
Some frequently used GL codes mentioned in the training include:
- 8055 – Payroll
- 8075 – Dues and Subscriptions
- 8800 – Meals and Entertainment
- 5300 – Uncategorized/Personal
- 8032 – Bank Fees
- 9931 – State Taxes
Refer to the master account for the correct classification per transaction, and always double-check that similar entries are consistently categorized month-to-month.

Why is my classification not applying?
Check if the correct master file is linked and that the data format is consistent.
Can I export reports directly from RevRex?
